SOPs & Systems Documentation | Susan Guinto

Most businesses run on people,
not processes.

Nothing Gets Lost

When processes live in people’s heads, they leave when people leave. SOPs ensure critical knowledge stays in your business forever.

Delegation Actually Works

You can’t hand off a task without a system. With clear SOPs, anyone can execute to your standard — first time, every time.

Quality Stays Consistent

Six Sigma is built around reducing variation. Documented processes mean the same quality output regardless of who’s doing the work.

You Can Finally Scale

Businesses hit a ceiling when growth requires the owner to be involved in everything. Systems break that ceiling and make scaling possible.

From messy workflows to clean, repeatable systems.

I don’t just write instructions. I audit how your business actually works, identify the gaps, and build documentation that people will actually use — structured with Six Sigma precision.

01

Process Audit & Mapping

Before writing a single SOP, I map how your business actually runs — interviewing your team, shadowing workflows, and identifying where things slow down, break down, or depend on one person. A full picture before we document anything.

02

SOP Writing & Documentation

Clear, step-by-step standard operating procedures written in plain language — with decision trees, screenshots, checklists, and role assignments where needed. Built to be used, not filed away and forgotten.

03

Systems Design & Optimisation

Using Six Sigma methodology, I don’t just document what exists — I identify waste, redundant steps, and bottlenecks, then redesign the workflow to be leaner and more efficient before locking it into an SOP.

04

Knowledge Base Setup

All SOPs organised into a searchable, structured knowledge base your team can actually navigate — built in Notion, Google Drive, or your preferred platform. A single source of truth for how your business operates.

From discovery to documented system in five steps.

Every engagement follows a structured approach — grounded in Six Sigma principles to ensure the systems we build are accurate, efficient, and actually used.

Maintenance & Update Plan

A schedule and system for keeping your SOPs current — so they evolve with your business instead of becoming outdated six months after they’re written.

For businesses where growth is limited by how much you can hold in your head.

SOPs work best when there’s a real business to document. I come in when you’ve proven what works and need to make it repeatable — so it doesn’t depend on you doing it every time.

Not the right fit if…

You’re still figuring out your processes or haven’t established a repeatable way of doing things yet. We document what works — not what’s still being figured out.

01

You’re the only person who knows how things get done

If you got sick tomorrow, would your business keep running? If the honest answer is no — that’s exactly the problem SOPs solve.

02

You’ve tried delegating but the quality is never consistent

People can only do it your way if they know what your way is. Without documented standards, inconsistency isn’t their fault — it’s a systems problem.

03

You’re onboarding new team members repeatedly

Every new hire takes weeks to get up to speed because everything is tribal knowledge. A proper knowledge base cuts onboarding time dramatically.

04

You want to scale without scaling your own involvement

Growth that requires more of you personally isn’t scalable. Systems documentation is what allows your business to grow independent of your direct involvement.

Things people ask before booking.

How is this different from just writing instructions?+
Most “SOP writing” services just transcribe what you tell them. I audit your actual workflows first, identify what’s inefficient or broken, optimise the process using Six Sigma methodology, and then document the improved version. You get a better process AND documentation — not just documentation of a broken process.
What format do the SOPs come in?+
Typically a combination of written step-by-step documents, visual flowcharts, and checklists — depending on the complexity of the process. Everything is built in your preferred platform (Notion, Google Docs, Confluence, etc.) and organised into a structured knowledge base your team can actually navigate.
How do you learn our processes if you’re not in the office?+
Through a combination of structured interviews with your team, screen recordings of how tasks are performed, review of existing documents and tools, and async walkthroughs. I’ve found this approach often surfaces inefficiencies that people inside the business have stopped noticing.
What happens when our processes change?+
Every engagement includes a maintenance plan — a system for flagging when SOPs need updating and a scheduled review cycle to keep documentation current. SOPs that don’t get maintained become a liability, so this is built in from the start.
How many clients do you take on at once?+
I cap my roster at 5 active clients. SOPs require deep understanding of how a business works — that kind of attention can’t be spread across dozens of clients at once.
